Depositing your thesis in the library
The most common outcome for doctoral candidates following the viva is pass, subject to amendments required by the Examination Committee. When you have completed your amendments, they must be approved by your School. Usually, the internal examiner oversees this process and confirms, via email to the FGR Exams team, or in the Amendments form in Panoho, that you have met all the conditions in your Examination Outcome report. You should wait to receive a notification from Panoho of this approval and confirmng that you may deposit a PDF version of your thesis in the University Library.
Check the Thesis formatting guide to ensure you meet the guidelines.
How to deposit your thesis in the library
Visit the Library's deposit your thesis webpage for information and a list of what you need to check before you deposit.
If you have any questions, or for file sizes over 1GB, please contact the Library Research Services Team
Year of deposit
Please ensure that the year included on the title page is the year of deposit in the Library, not the year you submitted your thesis for examination.
Thesis availability
Once in the Library, your thesis may be consulted, borrowed and copied in accordance with the regulations. The electronic version will be published online via the Open Access Repository.
If you wish to embargo your thesis, please read the Withholding of Theses Procedure to find out more about when this is possible. (Note that if you studied with the IIML, you should refer to the ‘Withheld theses’ section on the Library’s ‘Deposit your thesis’ page, or ask IIML staff for advice.)
To apply to withhold access to your thesis, submit a Thesis Embargo request form in Panoho. See this Guide to Submitting a Thesis Embargo request for help completing the form.
If your embargo application is approved, you will need to download the Thesis Embargo form as a PDF from Panoho and upload a copy when prompted in the Library’s self-deposit tool.
Copyright
You own the copyright in your thesis. As noted above, the Library will make your thesis publicly available on the internet. You may be concerned about protecting your rights. You can find information about the different copyright licenses you can use in the PDF below.
If you wish to provide more protection against potential misuse of your thesis, then please download the Copyright coversheet template for thesis template below and include it in your thesis as the page immediately after the title page (i.e., it becomes page 2 in your PDF). This will provide you with solid evidence that you have clearly asserted your rights should you wish to take legal redress against anyone who does choose to misuse your thesis.
