Terms and conditions
From 22 November 2020, payments made to the University by credit card and debit card will incur a convenience fee of 1.9%.
This fee is applied to recover those charges that we incur for processing credit and debit card transactions. For all transactions, an alternative payment method will be available. The convenience fee will be applied to transactions for goods and services, including domestic and international tuition fees. Payments made to Mauri Ora (Student Health) will be exempt from the convenience fee, as will payments for donations to the Victoria University of Wellington Foundation, administered by the Development Office.
Victoria University Payments Portal
1.1 Victoria University of Wellington (‘the University’) offers an online payment service to enable you to pay the University for products and services using a range of payment options (‘the Service’). The Service is offered via the pay.victoria.ac.nz website (‘the Website’). By using the Service, you agree to these terms and conditions.
1.2 University products and services that you may purchase via the Service includes, but is not limited to student fees, accommodation payments, payment for events, subscriptions, memberships, donations and other transactions.
1.3 Any person who wishes to purchase products or services from the University (‘you’, ‘a User’) may use this Service in accordance with these terms and conditions. The University may update these terms and conditions from time to time.
Making payments
1.4 When making a payment, you may be required to enter information such as your email address, student ID or staff number (if applicable), your postal address, or other information required to provide you with a product or service.
My account
1.5 You may create your own account via the My Account function on the Website using your nominated email address and selected password.
1.6 For students and staff members, please use your Victoria login credentials to login to My Account.
Credit card details
1.7 The University does not store or have access to your card details.
1.8 When you save your card details in My Account, Payment Express will store them. View the Payment Express Privacy Policy here.
Receipts
1.9 Any receipts for purchased products or services will be sent to the email address you provided when you used the Service to complete the payment.
1.10 Receipts will also be available in My Account provided you were signed into your My Account when you completed your payment.
1.11 If you have not received your receipt for a tuition fee payment, email student-finance@vuw.ac.nz and include your student ID number and date of payment.
1.12 If you have not received a receipt for all other payments, email onlinepayments@vuw.ac.nz with details of your transaction, including your student ID or staff number (if applicable) name, date of purchase, product or service purchased and amount paid.
Invoices
1.13 When you have received an invoice for University products or services, you may pay for this invoice via the Service. You will need to enter the customer number and invoice number before making the payment.
Refunds
1.14 Unless noted in the clause below, refunds will not be available for payments made via the Service.
1.15 To assess whether you may be entitled to a refund, please refer to the following for refund information:
- 1.15.1 Student fees: refer to the Fees Statute for the current year.
- 1.15.2 Accommodation fees: refer to your residential agreement relevant to your accommodation.
- 1.15.3 Conferences and events: refer to the conference or event registration page for the cancellation and refund policy for that particular event.
- 1.15.4 Other payments: please refer your request through to the individual School/Department that received your payment via the Service.
1.16 When the University issues a refund to a User for a product or service purchased via the Service, the refund will be credited directly to the credit/debit card initially used to make the purchase or to your nominated bank account.
Restriction of use of the Service
1.17 The University may restrict Account access or any use of the Service, with notice to the User where possible, if the University reasonably believes a User’s use of the Service poses a risk to the safety or security of the operation of the Service or Website, or if there is a history of fraudulent behaviour by the User.
Exclusion of liability
1.18 The University makes no warranty or representation that the Service or Website will always be available, uninterrupted, timely, and secure or error free.
1.19 The University takes no responsibility or liability for any errors by Users or other third parties involved in transactions via the Website. Nor is the University liable for late payments created by errors in the Service or Website or for errors attributable to the User.
Privacy
1.20 All personal information collected about Users and their use of the Service is collected, held and used as outlined in the University Privacy Notice.
