P-Card initiative cuts paper use

In January 2018 the procurement team in Finance introduced the Image Module for P-Card coding, a digital way of submitting monthly P-Card documentation.

This initiative has achieved some great results to date:

  • By the end of 2018, most users (1245 out of 1433) were using the online system.
  • Submitting online has saved a huge amount of paper—previously there were approximately 3000 sheets of paper used each month.
  • There is a lot less storage required. The team was using between eight and 12 boxes each month and this has reduced to half a box a month!
  • There are now 13,000 fewer items each year going through the internal mail.
  • A huge reduction in offsite storage costs and transportation to and from the University.
